About this template
This is the requirement set behind Olive's research into LMS and training software for restaurants: 78 requirements in 16 sections. Seven sections cover restaurant training itself, from short lessons on a phone to certifications and multi-location rollout. Nine cover the platform and the vendor behind it, from integrations to contract terms.
It is written for operators and training leaders choosing a learning platform for front-of-house and kitchen teams, from a single restaurant to a franchise system. Each section below says why it matters and how far apart vendors are on it in the research.
How to use it
Start with the sections, not the requirements. Decide which sections carry the most weight for your operation, then go through the requirements in each one and drop what does not apply. A single-brand group with one language may set multi-language support aside; a franchise system will weigh multi-location control and certification tracking heavily.
Put the same list to every vendor, in the same words, and ask for a score and evidence on each line. A requirement list only compares vendors fairly when every vendor answers the same questions.
Restaurant training
These seven sections cover how training reaches restaurant staff: short lessons on a phone, training inside the shift, the content itself, certifications, rollout across locations, languages and training reports. They decide whether the training is used at all, and in Olive's restaurant LMS research they separate the platforms built for frontline teams from the general enterprise LMS products.
Mobile-First Microlearning
6 requirementsRestaurant staff learn between tasks and on their own phones, not at a desk. Lessons that take minutes, load on a mobile device and check understanding as they go are the difference between training that is completed and training that is assigned and ignored.
In the research, the 10 vendors score from 39 to 83 out of 100 on this section.
- Mobile-First, Bite-Sized Lesson FormatDelivers training in short, mobile-first modules designed to fit into brief downtime between lunch and dinner service periods, not long desktop courses ported to mobile.
- Documented Completion Rate BenchmarkVendor can document a completion-rate benchmark for its format, since traditional LMS platforms in hospitality commonly see completion rates below 5% while purpose-built, mobile-first, gamified platforms report substantially higher rates.
- Offline Access for Low-Connectivity AreasSupports offline access to training content for locations or back-of-house areas with poor Wi-Fi.
- Gamification ElementsIncludes gamification (badges, leaderboards, streaks) shown to meaningfully speed up time-to-competency for hourly restaurant staff, where high turnover makes fast onboarding more valuable than in lower-turnover industries.
- Push Notification & Reminder Cadence for Incomplete ModulesSends configurable push notifications or reminders to employees with incomplete required modules ahead of an upcoming shift, distinct from manager-facing completion dashboards.
- Micro-Assessment Checkpoints Within LessonsEmbeds brief knowledge-check questions within a lesson itself, distinct from a standalone quiz/assessment at the end of a course.
Training Embedded in Operations
6 requirementsThe best moment to teach a station or a new menu item is during the shift that needs it. Training that links to checklists, tasks and the point of work keeps standards consistent without pulling staff off the floor.
In the research, the 10 vendors score from 43 to 71 out of 100 on this section.
- Training Tied to Shift ScheduleIntegrates with scheduling so new-hire training is assigned and completed during scheduled working hours, not left to the employee's own time.
- In-Workflow Task and Checklist IntegrationEmbeds training-adjacent tasks — opening/closing procedures, food-safety checklists — directly into daily operational workflow rather than treating training as a separate system employees have to context-switch into.
- Role-Based Learning PathsSupports distinct learning paths by role (server, line cook, shift lead) rather than one generic curriculum for everyone.
- New-Hire Day-One Onboarding Checklist AutomationAutomates a day-one onboarding checklist for a new restaurant hire (paperwork, orientation tasks, initial POS/system access) distinct from ongoing role-based learning path assignment.
- Manager Coaching & Feedback Loop ToolsLets shift managers log in-app coaching notes tied to an individual employee's training or assessment performance, distinct from location-level reporting or AI-driven remediation recommendations.
- Pre-Shift Huddle / Team Briefing Content SupportSupports delivering short briefing content for daily pre-shift team huddles, distinct from general task/checklist workflow integration.
Content Library & Authoring
6 requirementsMenus, recipes and procedures change often, so the team has to be able to build and update courses quickly. A ready-made library covers the common topics; easy authoring covers everything specific to your brand.
In the research, the 10 vendors score from 50 to 70 out of 100 on this section, one of the three closest in the report.
- Restaurant-Specific Prebuilt Content LibraryIncludes a prebuilt content library covering common restaurant topics (service standards, food safety, POS basics) so the chain isn't starting from a blank slate.
- Fast Custom Course AuthoringAllows non-technical training staff to build custom courses quickly, including converting existing SOPs/manuals — like opening checklists or recipe cards — into structured lessons.
- Video-Based Lesson SupportSupports video lessons for skills that are hard to convey in text (knife skills, drink preparation, service choreography).
- Assessment & Quiz BuilderProvides a dedicated quiz/assessment builder with multiple question types and auto-grading, distinct from general course/lesson authoring.
- Content Versioning & Approval Workflow for Updated SOPsSupports version control and an approval workflow when updating existing training content, ensuring an outdated SOP-based lesson (e.g., a discontinued menu item's prep steps) doesn't remain live after a procedure changes.
- Bulk Import of Existing Video and Slide-Deck ContentSupports bulk importing existing training videos and slide-deck presentations directly into the platform's lesson structure, distinct from converting text-based SOPs into structured lessons.
Certification & Compliance Tracking
6 requirementsFood safety, alcohol service and allergen certifications expire, and an expired one is a regulatory and liability problem. The platform should track who holds what, warn before expiry and produce the record an inspector or insurer asks for.
In the research, the 10 vendors score from 49 to 77 out of 100 on this section.
- Food Safety Certification Tracking (ServSafe or Equivalent)Tracks required food safety certifications (e.g., ServSafe or state-equivalent food handler cards) with expiration alerts per employee.
- OSHA/Safety Compliance Course TrackingTracks completion of required workplace safety training relevant to kitchen environments.
- Compliance Audit-Ready Completion RecordsProduces completion records in a format ready for a compliance audit or wage-and-hour labor dispute defense, a common risk given hourly restaurant staffing.
- State-Specific Food Handler Card Requirement MappingMaps which food handler certification is required per state or jurisdiction, since requirements vary and a multi-state chain needs the correct certification tracked per location.
- Alcohol Service Certification Tracking (TIPS/Responsible Beverage Service)Tracks responsible beverage service certifications (e.g., TIPS) separately from food safety certifications, relevant for locations serving alcohol.
- Allergen Awareness Training TrackingTracks completion of allergen awareness training as its own distinct requirement, separate from general food handler certification, given divergent jurisdictional requirements.
Multi-Location & Franchise Support
4 requirementsA group or franchise system needs one training standard and local control: assign by location and role, let managers run their own teams, and see completion across every unit from one place.
In the research, the 10 vendors score from 45 to 80 out of 100 on this section.
- Centralized Curriculum with Location-Level Completion TrackingManages one standardized curriculum centrally while tracking individual completion at each restaurant location.
- Franchisee Content Customization Within Brand GuardrailsAllows limited franchisee-level content customization while enforcing core brand-standard modules.
- Multi-Brand Portal SupportSupports serving distinct training content to different brands/concepts under one account, relevant for multi-concept restaurant groups.
- Franchisee Compliance Audit Visibility for CorporateGives corporate an audit-ready view into franchisee-level compliance status for regulatory or franchise-agreement purposes, distinct from routine location-level completion tracking.
Multi-Language Support
3 requirementsMany restaurant teams work in more than one language. Courses, quizzes and the app itself need to reach each person in the language they understand best, or the training does not land.
In the research, the 10 vendors score from 12 to 74 out of 100 on this section, one of the three widest gaps in the report.
- Multi-Language Content DeliveryDelivers training content in multiple languages, reflecting the linguistically diverse back-of-house and front-of-house workforce common in restaurants.
- Language-Specific Certification TrackingTracks certification completion correctly regardless of which language version an employee completed, important given how often food-safety certification is completed in a non-English language.
- Auto-Translation of Custom ContentAutomatically translates chain-authored custom content into additional languages, distinct from delivering pre-existing multi-language library content.
Training Reporting & Analytics
4 requirementsManagers need to see who has completed what, who is overdue and whether training shows up in performance. Reporting that stops at completion rates gives little to act on.
In the research, the 10 vendors score from 48 to 70 out of 100 on this section, one of the three closest in the report.
- Completion & Time-to-Competency Dashboard by LocationReports training completion rates and time-to-competency by restaurant location and role (server, cook, shift lead).
- Skills Gap IdentificationIdentifies skill gaps at individual employee or restaurant location level based on assessment performance.
- Turnover-Adjusted Training Cost & ROI AnalysisAnalyzes training cost and time-to-productivity relative to employee turnover rates, given how significantly high QSR turnover affects the real cost of retraining.
- Manager-Level Accountability ReportingProvides a report scoped to an individual shift manager showing which of their own team members are behind on required training, distinct from the location-level aggregate dashboard.
Platform and vendor
These nine sections cover the product underneath and the company behind it: automation, integrations, data, administration, security, implementation, support, pricing and the vendor's standing. They are easy to leave until contract stage, and they are where the enterprise platforms in the research pull ahead of the smaller tools.
Workflow, Automation & Intelligence
5 requirementsWith high turnover, enrolling, reminding and reassigning by hand takes up a manager's week. Automated assignment by role and location, and AI help with content and recommendations, keep training moving without that overhead.
In the research, the 10 vendors score from 18 to 65 out of 100 on this section.
- Automated Escalation for Overdue Certification RenewalsAutomates escalation when a required certification renewal — such as a ServSafe food handler card — remains outstanding past its initial expiration alert, routing it to the location manager without manual follow-up tracking.
- Configurable Policy Triggers for Role-Change Re-TrainingEnforces conditional business rules and automated triggers — such as automatically assigning a new learning path when an employee changes roles — without requiring vendor professional services for every policy change.
- AI-Driven At-Risk Employee FlaggingApplies AI/analytics to flag employees at risk of falling behind on required training or certification renewal based on completion pace, a particularly valuable signal given how quickly hourly restaurant staff can disengage before a shift change or departure.
- Guided Remediation Recommendations for Underperforming LocationsRecommends a specific remediation action — reassign training, escalate to regional trainer, flag for in-person coaching — for a restaurant location flagged by declining completion rates or skills-gap data, and lets a regional manager apply it in one click.
- AI-Driven Content Recommendation for Skill GapsRecommends specific training modules — such as a food safety refresher or a POS workflow module — to assign based on an identified skill gap, distinct from simply flagging that a gap exists.
Integrations, APIs & Ecosystem
5 requirementsNew hires should be enrolled automatically from the HR or scheduling system, and completions should flow back. Without integrations, every hire and exit is a manual step in two systems.
In the research, the 10 vendors score from 33 to 68 out of 100 on this section.
- Open API for Training and Completion DataProvides a documented API for course, completion, and certification data.
- HR/ATS Integration for New-Hire Auto-EnrollmentAutomatically enrolls new hires into the correct training path based on their role at the moment they're hired in the ATS, supporting the high-volume, fast-turnaround hiring common in restaurant staffing.
- Payroll Integration for Certification-Linked Pay PremiumsIntegrates with payroll systems to support certification-linked pay premiums, where an employee's completed training or certification (e.g., ServSafe or TIPS) affects their pay rate.
- POS Integration for Skill-Gated AccessIntegrates with POS to restrict certain functions (e.g., alcohol service override) to employees who have completed the relevant certification or training module.
- Single Sign-On (SSO) IntegrationSupports SSO integration with common enterprise identity providers so employees don't need a separate login for the training platform.
Data Management, Reporting & Analytics
6 requirementsTraining records are evidence for compliance and audits, and they belong to the operator. Look for clean data, bulk export and reporting that can be combined with the rest of the business.
In the research, the 10 vendors score from 33 to 79 out of 100 on this section.
- Executive & Board-Level Training Program DashboardProvides a real-time executive dashboard summarizing training completion, certification compliance, and skills-gap exposure across the full restaurant location portfolio.
- Custom Report Builder & Scheduled DistributionLets non-technical restaurant operations and training staff build and schedule custom reports across any completion, certification, or assessment attribute without requiring vendor professional services.
- Retention & Archival for Completion RecordsDefines configurable retention and archival policies for historical training completion and certification records, in line with labor-record retention requirements relevant to hourly restaurant workforce documentation.
- Cross-Location Benchmarking of Completion RatesBenchmarks individual restaurant location training completion rates against chain-wide or comparable-store averages to surface outliers, distinct from the per-location dashboard view itself.
- Exportable Data / Bulk Export AccessProvides bulk CSV/spreadsheet export of training completion and assessment data for use in external reporting tools, distinct from programmatic API access.
- Content Engagement AnalyticsReports on granular content engagement — which modules are frequently skipped, rewatched, or abandoned partway through during hourly staff's limited downtime — distinct from the vendor's own aggregate completion-rate benchmark claim.
Architecture, Configuration & Administration
5 requirementsHow the platform is set up decides how much work it is to run: roles and permissions, branding, configuration without code and an administration model that matches how the business is organized.
In the research, the 10 vendors score from 38 to 68 out of 100 on this section.
- Scalable Architecture for Large Multi-Location WorkforceSupports a scalable architecture sized for a large, distributed multi-location workforce without degraded performance during peak onboarding periods (e.g., seasonal hiring).
- Configuration Flexibility for Learning Paths Without Custom CodeLets training admins configure role-based learning paths — server, line cook, shift lead — assessment rules, and certification requirements through a business-rules UI rather than requiring vendor custom development.
- Disaster Recovery with Defined RTO/RPOProvides documented disaster recovery procedures with defined RTO/RPO targets for training content and completion records.
- Delegated Administration by Region or Franchise GroupSupports delegated administration so regional trainers or franchise groups can manage their own content customization and reporting within corporate-defined boundaries.
- White-Label Branding for Training PortalSupports white-labeling the training portal's visual branding to match the restaurant chain's own brand identity, distinct from functional configuration of learning paths and rules.
Security, Privacy, Compliance & Auditability
5 requirementsThe platform holds personal data on every employee. Single sign-on, encryption, certifications such as SOC 2 and a clear audit trail are what IT and legal teams will ask about.
In the research, the 10 vendors score from 42 to 77 out of 100 on this section.
- SOC 2 Type II CertificationVendor's cloud infrastructure and data handling practices are SOC 2 Type II certified.
- Data Encryption At Rest & In TransitTraining and certification records are encrypted at rest and in transit.
- Role-Based Access Control for Training RecordsBack-office console enforces granular, role-based permissions restricting who can view or modify an individual employee's food-safety certification or disciplinary training records.
- Comprehensive Audit Trail of Certification & Completion ChangesLogs every certification status change, completion override, and content update with user attribution and timestamp, with real-time activity monitoring alongside the log.
- Data Residency & Privacy Controls for Employee RecordsDiscloses where restaurant employee training and certification records are stored and provides configurable privacy controls, distinct from encryption of that data.
Implementation, Migration, Training & Adoption
5 requirementsA training platform only pays off once staff are using it. How quickly it can be rolled out, how existing content moves across and what help the vendor gives with adoption matter as much as features.
In the research, the 10 vendors score from 56 to 78 out of 100 on this section, one of the three closest in the report.
- Content Migration & Curriculum Build SupportVendor provides dedicated support converting the chain's existing training manuals/SOPs — recipe standards, service scripts, opening/closing checklists — into the platform's format at rollout.
- Ongoing Content Update Support as Menu/Procedures ChangeProvides support keeping training content current as the chain's menu and procedures evolve.
- In-App Guidance & Trainer DocumentationOffers in-app guidance and current documentation for restaurant training administrators and shift trainers building and maintaining courses, plus an active user community.
- Change Management & Front-Line Manager Adoption SupportProvides guidance or tooling to drive front-line manager adoption of the training platform, distinct from the technical content-migration support itself.
- Dedicated Onboarding Specialist for Enterprise RolloutsAssigns a named onboarding specialist for enterprise multi-unit restaurant rollouts, distinct from the content-migration and curriculum-build service itself.
Support & Customer Success
4 requirementsRestaurants run evenings and weekends, so support hours, response times and a named contact for larger accounts are worth checking before signing.
In the research, the 10 vendors score from 13 to 68 out of 100 on this section, one of the three widest gaps in the report.
- 24/7 Support AvailabilityProvides 24/7 support coverage appropriate for a business that operates extended or round-the-clock hours.
- Escalation Path & Dedicated Customer SuccessDefines a clear escalation path for unresolved critical issues and assigns a named customer success or account manager to enterprise accounts.
- Published SLA for Critical Issue Response TimePublishes and contractually commits to a specific response-time SLA for critical issues, such as a platform outage blocking new-hire onboarding.
- Multi-Channel Support AccessProvides support access through multiple channels — phone, live chat, and email/ticketing — rather than a single funnel.
Pricing & Contracts
3 requirementsPer-user pricing meets high turnover in restaurants, so how active users are counted, what is included and how contracts scale with locations can change the total cost considerably.
In the research, the 10 vendors score from 22 to 71 out of 100 on this section, one of the three widest gaps in the report.
- Transparent Per-Location or Per-Employee PricingProvides a clear pricing model without hidden fees tied to content volume or course count.
- Contract Flexibility & Exit TermsOffers reasonable contract terms and clearly defined exit/termination provisions, including content and completion-record export.
- Total Cost of Ownership DisclosureProvides a TCO estimate including platform fees and any custom content development costs.
Company & Product Overview
5 requirementsThis section covers the vendor itself: its presence in restaurants and hospitality, financial standing, reference customers and how actively the product is developed. It is the context for every other score.
In the research, the 10 vendors score from 35 to 74 out of 100 on this section.
- Established Restaurant/Hospitality LMS Market PresenceVendor has a dedicated restaurant or hospitality-focused LMS with documented multi-unit chain deployments (category includes Operandio, Typsy, 7shifts training, and enterprise players like Docebo for larger chains).
- Financial Stability & FundingVendor has verifiable financial stability sufficient to support a multi-year enterprise relationship.
- Reference Customers at Comparable ScaleVendor can provide restaurant or hospitality reference customers of similar size running training programs across multiple locations in production.
- Product Roadmap & Innovation CadenceVendor publishes a credible roadmap and has a track record of shipping meaningful platform updates on a regular cadence.
- Restaurant-Specific vs. Generic Enterprise LMS TransparencyDiscloses whether the platform was purpose-built for restaurant/hospitality training or is a generic enterprise LMS being adapted for this use case, so buyers can weigh depth of restaurant-specific content and support accordingly.
