About this template
This is the requirement set behind Olive's restaurant POS vendor research: 95 requirements in 20 sections. Ten sections cover how the restaurant runs, from order entry to offline resilience. Ten cover the platform and the vendor behind it, from integrations to contract terms.
It is written for restaurant operators comparing point of sale systems, from a single location to a multi-location or franchise brand. Each section below says why it matters and how far apart vendors are on it in the research.
How to use it
Start with the sections, not the requirements. Decide which sections carry the most weight for your operation, then go through the requirements in each one and drop what does not apply. A counter-service brand will keep the drive-thru and kiosk requirements; a full-service group will care more about coursing and pay-at-table.
Put the same list to every vendor, in the same words, and ask for a score and evidence on each line. A requirement list only compares vendors fairly when every vendor answers the same questions.
Restaurant operations
These ten sections cover the work of the restaurant itself: taking orders, running the kitchen, taking payment, and managing guests, stock, staff and locations. They are where a POS is felt every shift, and in Olive's restaurant POS research every vendor scores higher on them than on the platform sections.
Multi-Channel Order Consolidation
4 requirementsOrders arrive from the counter, the website, the app and delivery marketplaces. If they do not land in one queue under one set of rules, the kitchen works from a row of tablets and sales reporting splits by channel.
In the research, the 10 vendors score from 67 to 90 out of 100 on this section.
- Unified Order Queue Across ChannelsIn-store, online, kiosk, drive-thru, and delivery orders all flow into a single order queue rather than separate siloed systems.
- Native Online Ordering SupportProvides first-party online ordering (web/app) that writes directly into the same order pipeline as in-store orders.
- Third-Party Delivery Marketplace IntegrationIntegrates with major delivery marketplaces (DoorDash, Uber Eats, Grubhub) so orders inject directly into POS without a separate tablet per platform.
- Order Injection Without Tablet SprawlConsolidates all third-party order sources through a single integration point, avoiding a counter full of separate delivery tablets.
Digital & Self-Service Ordering Channels
4 requirementsKiosks, QR ordering, voice ordering and menu boards move order-taking from staff to guests. Whether those channels are part of the POS or added beside it decides how consistent menus, prices and availability stay across them.
In the research, the 10 vendors score from 42 to 83 out of 100 on this section, one of the three widest gaps in the report.
- Self-Service Kiosk Native SupportProvides native, vendor-supported self-service kiosk software (not a third-party bolt-on) that writes directly into the same order pipeline as staffed registers.
- QR-Code Table-Side Ordering & PaymentSupports QR-code-based table-side ordering and payment for full-service and fast-casual formats, injecting orders directly into the kitchen/POS pipeline.
- AI Voice-Enabled Drive-Thru OrderingSupports or integrates with AI voice-ordering systems for drive-thru lanes, with orders flowing directly into the standard order queue rather than a separate system.
- Dynamic Digital Menu Board SynchronizationSynchronizes digital menu boards in real time with POS pricing, 86'd items, and daypart changes without manual content updates.
Kitchen & Fulfillment Integration
4 requirementsWhat happens after the order is placed decides ticket times. Routing, kitchen display and order-ready requirements test whether the system can run the line during a rush, not only take the order.
In the research, the 10 vendors score from 53 to 88 out of 100 on this section.
- Kitchen Display System (KDS) IntegrationIntegrates natively or via certified partner with a KDS, routing tickets by station and tracking prep time per item.
- Prep Time & Ticket Routing LogicSupports configurable ticket routing logic (by station, item type, or order channel) and tracks time-to-fulfillment per ticket.
- Expo / Order-Ready NotificationSupports expo screen workflows and guest-facing order-ready notifications (buzzer, SMS, or app push).
- Drive-Thru Timer & Lane IntegrationIntegrates with drive-thru order confirmation boards and lane timer systems to track speed-of-service metrics.
Payment Processing & PCI Compliance
6 requirementsPayments are where a POS decision carries direct cost and risk: how cards are accepted, how card data is protected, and whether you can choose your processor. Most vendors cover the basics, so the differences are in the detail.
In the research, the 10 vendors score from 75 to 89 out of 100 on this section, one of the three closest in the report.
- Handheld pay-at-tableHandheld devices take orders and payment at the table with tip prompt and receipt. Confirmed by the hardware catalog.
- PCI-DSS Level 1 Compliant Payment ProcessingPayment processing is PCI-DSS Level 1 compliant, with current attestation available on request.
- Integrated & Semi-Integrated Payment SupportSupports both fully integrated payment processing and semi-integrated models, giving flexibility on processor choice.
- Contactless / Mobile Wallet AcceptanceAccepts contactless cards and mobile wallets (Apple Pay, Google Pay) at all order channels including drive-thru and kiosk.
- EMV Chip & Tap-to-Pay CertificationHardware and software stack is EMV chip and tap-to-pay certified across all supported terminal types.
- Split Tender & Split Check SupportSupports splitting a single order across multiple payment methods and splitting checks by item or by guest.
Loyalty, Gift Card & Promotions
5 requirementsLoyalty, gift cards and promotions bring guests back. The requirements here test whether those programs work the same way in every channel and recognize the guest at the point of sale, or depend on a separate system.
In the research, the 10 vendors score from 55 to 82 out of 100 on this section.
- Native or Integrated Loyalty Program SupportProvides native loyalty functionality or certified integration with a third-party loyalty platform, recognized at the point of sale.
- Gift Card Issuance & RedemptionSupports issuing and redeeming physical and digital gift cards across all locations and channels.
- Discount & Promotion Rules EngineSupports configurable discount and promotion rules (BOGO, time-limited, item-specific) applied automatically at checkout.
- Guest Profile Recognition at POSRecognizes returning guests at the point of sale (via phone number, card, or app) to surface order history and loyalty status.
- Personalized Offer Targeting by Purchase HistoryTargets personalized offers or rewards to individual guests based on purchase history and visit frequency, rather than blanket promotions applied to all guests.
Inventory & Cost Management Integration
4 requirementsFood cost is controlled where sales meet stock. These requirements separate systems that deplete inventory by recipe and track margin by item from those that leave the work to a partner product.
In the research, the 10 vendors score from 40 to 81 out of 100 on this section, one of the three widest gaps in the report.
- Real-Time Inventory Depletion by RecipeDepletes ingredient-level inventory automatically based on recipe/BOM data as items are sold.
- Menu Item Cost & Margin TrackingTracks theoretical food cost and margin per menu item, updated as ingredient costs change.
- Integration with Supply Chain / Procurement SystemsIntegrates with or exports to inventory and procurement platforms without requiring manual re-entry of usage data.
- Waste & Void TrackingTracks voids, comps, and waste with reason codes and manager approval workflows, rolled up by location.
Labor & Employee Management
5 requirementsLabor is the other large controllable cost. Time clock, permissions, tip handling and scheduling decide how much of that work the POS does and how much goes to another tool.
In the research, the 10 vendors score from 66 to 88 out of 100 on this section.
- Employee Clock-In/Out at POSSupports employee time clock functionality directly at the POS terminal, tied to scheduled shifts.
- Role-Based Access & PIN/Badge SecurityRestricts POS functions (voids, discounts, reports) by employee role, enforced via PIN, badge, or biometric login.
- Tip Declaration & Pooling SupportSupports tip declaration, pooling, and distribution rules consistent with local labor regulations.
- Labor Cost vs. Sales Real-Time ViewSurfaces real-time labor cost as a percentage of sales to managers during a shift, not just in next-day reports.
- Shift Scheduling & Labor Forecasting IntegrationIntegrates with or provides native shift scheduling that accounts for forecasted sales volume, avoiding a disconnected scheduling tool that ignores real-time demand signals.
Multi-Location & Franchise Management
4 requirementsAbove a few locations the question becomes control: who can change a menu, a price or a permission, and how fast a change reaches every store. Franchise groups add royalty reporting and brand standards with local exceptions.
In the research, the 10 vendors score from 48 to 83 out of 100 on this section.
- Centralized Configuration Push to All LocationsCorporate can push menu, pricing, and configuration changes to all or a defined subset of locations from a single console.
- Franchisee-Level Permission SegmentationSupports distinct permission tiers for franchisees vs. corporate-owned locations, limiting what franchisees can change locally.
- Royalty & Franchise Reporting SupportGenerates reporting suitable for royalty calculation and franchise compliance audits without manual data assembly.
- Bulk Menu/Price Rollout with Local OverridesSupports bulk rollout of menu and pricing changes while still allowing defined local overrides (e.g., regional pricing).
Hardware & Offline Resilience
4 requirementsA POS that stops when the internet does stops the restaurant. Offline mode, hardware choice and uptime commitments are operating requirements, and they are hard to change after the hardware is bought.
In the research, the 10 vendors score from 51 to 84 out of 100 on this section.
- Offline Mode / Store-and-Forward ProcessingContinues taking orders and processing payments during an internet outage, syncing transactions once connectivity is restored.
- Hardware FlexibilitySupports a range of hardware (fixed terminals, tablets, kiosks) rather than locking the chain into a single proprietary device.
- Uptime SLA & RedundancyVendor publishes a specific uptime SLA with defined remedies, backed by redundant infrastructure.
- Certified Hardware Ecosystem for Kiosks & TabletsMaintains a certified hardware ecosystem for kiosks, handheld tablets, and payment terminals with documented compatibility, rather than an unsupported bring-your-own-device model.
Platform and vendor
These ten sections cover the product underneath and the company behind it: integrations, data, security, implementation, support, pricing and the vendor's standing. They are easy to leave until contract stage, and they are where every vendor in the research scores lower.
Integrations, APIs & Ecosystem
5 requirementsNo POS does everything. An open API, event feeds and a maintained set of pre-built connections decide whether accounting, reservations and the rest of the stack connect cleanly or by workaround.
In the research, the 10 vendors score from 44 to 84 out of 100 on this section.
- Open REST API for Third-Party IntegrationProvides a documented, fully-featured REST API covering orders, menu, employees, and reporting data.
- Pre-Built Integration MarketplaceMaintains a marketplace or catalog of certified pre-built integrations (payroll, accounting, delivery, loyalty) rather than requiring custom builds for common needs.
- Accounting & ERP IntegrationIntegrates with common accounting/ERP platforms for automated sales and tax data reconciliation.
- Real-Time Webhook / Event SupportSupports webhooks or event streams for real-time downstream processing (e.g., triggering inventory or BI systems on order completion).
- Third-Party Reservation & Waitlist IntegrationIntegrates with third-party reservation and waitlist platforms (OpenTable, Resy, Yelp) to sync table status and guest check-in with front-of-house operations.
Integration ecosystem
5 requirementsThis section names the connections most restaurants rely on: loyalty, inventory, marketing, payroll and online ordering platforms. It shows which of them a vendor supports directly and which are left to you.
In the research, the 10 vendors score from 65 to 84 out of 100 on this section, one of the three closest in the report.
- Third-party gift card & loyalty program integrationIssues and redeems cards or points from external gift and loyalty programs (e.g. Paytronix, Punchh, Givex) at the terminal. Confirmed by a named certified partner integration.
- Inventory & food-cost platform integrationFeeds item-level sales to third-party inventory and food-cost platforms (e.g. MarginEdge, MarketMan, xtraCHEF, Craftable) for depletion and variance tracking. Confirmed by a certified integration listing naming the platform.
- Marketing automation & CRM integrationSyncs guest and transaction data to email/SMS marketing or CRM tools (e.g. Mailchimp, Klaviyo, Thanx) for automated campaigns. Confirmed by a named integration or a native marketing module.
- Payroll integrationPushes hours, tips and wage data to a payroll provider (e.g. Gusto, ADP, Paychex) or provides native payroll, without manual re-keying. Confirmed by a documented integration or a native payroll product.
- Third-party online ordering platform integrationAccepts orders from branded third-party ordering platforms (e.g. ChowNow, Olo, Owner.com) directly into the POS order queue with menu sync. Confirmed by a certified integration or partner-marketplace listing naming the platform.
Data Management, Reporting & Analytics
6 requirementsEvery POS reports sales. The requirements here ask more: live numbers across locations, reports you can shape yourself, and access to the raw transactions so the data stays yours when you outgrow the built-in reports.
In the research, the 10 vendors score from 57 to 82 out of 100 on this section.
- Real-Time Sales Dashboard Across LocationsProvides a real-time, multi-location sales dashboard accessible to corporate and regional management, filterable by location, daypart, and channel.
- Exportable Data / API Access to Raw TransactionsProvides API or export access to raw transaction-level data for use in external BI tools.
- Customizable Report BuilderLets non-technical users build and schedule custom reports across any sales, labor, or inventory attribute without engineering or vendor support tickets.
- Sales Forecasting & Trend AnalysisProvides forecasting tools that project sales trends by location, daypart, and item to support staffing and ordering decisions.
- Retention & Archival for Transaction HistoryDefines configurable retention and archival policies for historical transaction and labor data, in line with tax and labor-law record-retention requirements.
- Cross-Location Benchmarking & KPI ComparisonBenchmarks individual location performance — sales per labor hour, average ticket, void rate — against chain-wide or comparable-store averages to surface outliers.
Workflow, Automation & Intelligence
5 requirementsThese are the newest capabilities in the category: alerts on void and comp thresholds, anomaly detection, and recommendations at the point of order. Few vendors have them in full, so score what exists today and ask what is on the roadmap.
In the research, the 10 vendors score from 27 to 67 out of 100 on this section.
- Automated Escalation for POS System ErrorsAutomates escalation and notification when a POS terminal or payment processing error persists past a defined threshold, routing it to IT support or the vendor's NOC without requiring a manager to call in.
- Configurable Policy Triggers for Void/Comp ThresholdsEnforces conditional business rules and automated triggers — such as requiring manager PIN override once a void or comp exceeds a defined dollar threshold — without requiring vendor professional services for every policy change.
- AI-Driven Anomaly Detection for Transaction FraudApplies AI/analytics to detect anomalous transaction patterns — unusual void rates, discount abuse, cash-drawer discrepancies — at the employee or location level, beyond static rule-based thresholds.
- AI-Powered Upsell & Order Recommendation PromptsUses AI to recommend contextual upsell or combo prompts to staff or guests at the point of order based on item pairing history, distinct from static combo/meal builder rules.
- Guided Remediation Recommendations for Flagged LocationsRecommends a specific remediation action — retrain staff, adjust par levels, escalate to regional manager — for a location flagged by anomaly detection or KPI thresholds, and lets a regional manager apply it in one click.
Architecture, Configuration & Administration
4 requirementsThis is how the product holds up under load and under change: peak-volume capacity, recovery commitments, and whether menus and policies can be configured without custom work from the vendor.
In the research, the 10 vendors score from 51 to 80 out of 100 on this section.
- Scalable Cloud Architecture for Peak Transaction VolumeSupports a scalable cloud architecture sized for peak transaction volume (lunch/dinner rush, holiday surges) without degraded terminal response time.
- Configuration Flexibility for Menu & Policy Without Custom CodeLets corporate and franchise admins configure menu structures, discount rules, and labor policies through a business-rules UI rather than requiring vendor custom development.
- Disaster Recovery with Defined RTO/RPOProvides documented disaster recovery procedures with defined RTO/RPO targets for transaction, menu, and configuration data.
- Delegated Administration by Region or Franchise GroupSupports delegated administration so regional managers or franchise groups can configure their own menu variations and policies within corporate-defined boundaries.
Security, Privacy, Compliance & Auditability
5 requirementsA POS holds payment, guest and employee data. Certifications, encryption, access control and an audit trail are what your own auditors and franchise partners will ask you for, so ask the vendor first.
In the research, the 10 vendors score from 46 to 74 out of 100 on this section.
- SOC 2 Type II CertificationVendor's cloud infrastructure and data handling practices are SOC 2 Type II certified, with a current report available on request.
- Data Encryption At Rest & In TransitAll transaction, guest, and employee data is encrypted at rest and in transit using industry-standard protocols.
- Role-Based Access Control for Back-OfficeBack-office/admin console enforces granular, role-based permissions separate from front-of-house POS access controls.
- Data Residency & Ownership DisclosureVendor discloses where data is stored and confirms the chain retains ownership of and export rights to its own transaction data.
- Comprehensive, Immutable Audit TrailLogs every configuration change, discount override, and back-office action with employee attribution and timestamp, with real-time activity monitoring alongside the log.
Implementation, Migration, Training & Adoption
5 requirementsMost of the risk in a POS change sits in the rollout. These requirements cover who manages it, how data moves from the old system, and how store staff are trained to use the new one.
In the research, the 10 vendors score from 55 to 77 out of 100 on this section.
- Multi-Location Rollout & Migration SupportVendor has a defined methodology and dedicated resources for rolling out or migrating a multi-unit chain, not just single-store onboarding.
- Dedicated Account/Implementation Manager for Enterprise AccountsAssigns a dedicated account or implementation manager for accounts above a defined location-count threshold.
- Training Resources for Store-Level StaffProvides structured, easily repeatable training materials suitable for high-turnover, store-level staff.
- Data Migration Tooling from Legacy POSProvides tooling or a documented methodology for migrating menu, employee, and historical transaction data from a legacy or competing POS platform.
- In-App Guidance & Manager DocumentationOffers in-app guidance and current documentation for store managers configuring daily operations, plus an active user community or user group.
Support & Customer Success
4 requirementsRestaurants run nights and weekends, and a POS problem at seven on a Saturday cannot wait for Monday. Hours, response commitments and escalation paths are worth getting in writing.
In the research, the 10 vendors score from 39 to 74 out of 100 on this section.
- 24/7 Support AvailabilityProvides 24/7 support coverage appropriate for a business that operates extended or round-the-clock hours.
- Escalation Path & Dedicated Customer SuccessDefines a clear escalation path for unresolved critical issues and assigns a named customer success or account manager to enterprise accounts.
- Published SLA for Critical Issue Response TimePublishes and contractually commits to a specific response-time SLA for critical (P1) issues affecting live transactions, not just a general statement of 24/7 availability.
- Multi-Channel Support AccessProvides support access through multiple channels — phone, live chat, and email/ticketing — rather than a single funnel, appropriate for time-sensitive, in-service issues.
Pricing & Contracts
5 requirementsSoftware fees are one part of the cost; processing rates, hardware and contract terms are the rest. Requirements here ask vendors to disclose the whole cost and the terms for leaving.
In the research, the 10 vendors score from 29 to 79 out of 100 on this section, one of the three widest gaps in the report.
- Processing rate disclosure & lock-inPublishes card processing rates and states whether in-house processing is required to use the software. Confirmed by the pricing page and terms of service.
- Transparent Per-Terminal / Per-Location PricingProvides a clear pricing model per terminal or per location without undisclosed add-on fees for core functionality.
- Hardware Cost TransparencyDiscloses hardware costs clearly, including lease vs. purchase options and replacement/repair terms.
- Total Cost of Ownership DisclosureProvides a TCO estimate covering software, hardware, payment processing fees, and implementation for a representative location count.
- Contract Flexibility & Exit TermsOffers reasonable contract terms and clearly defined exit/termination provisions, avoiding excessive multi-year lock-in.
Company & Product Overview
4 requirementsA POS contract usually runs for years. Market presence, financial stability, comparable reference customers and a visible roadmap indicate whether the vendor will still be investing in the product at renewal.
In the research, the 10 vendors score from 69 to 86 out of 100 on this section, one of the three closest in the report.
- Established Restaurant POS Market PresenceVendor has a dedicated restaurant/hospitality POS product with documented multi-unit chain deployments, not a generic retail POS repurposed for food service.
- Financial Stability & FundingVendor has verifiable financial stability (public, well-funded, or profitable) sufficient to support a multi-year enterprise relationship.
- Reference Customers in Comparable SegmentVendor can provide reference customers of similar size and service format (QSR, fast-casual, or full-service) running the platform in production across multiple locations.
- Product Roadmap & Innovation CadenceVendor publishes a credible roadmap and has a track record of shipping meaningful platform updates (not just bug fixes) on a regular cadence.
