About this template
This is the requirement set behind Olive's research into digital menu board software: 100 requirements in 10 sections. Four sections cover the menu itself and the screens that show it, four cover running a screen network at scale, and two cover the vendor and what it costs.
It is written for restaurant operators, marketers and IT teams choosing menu board software, from a single restaurant to a multi-location or franchise brand. Each section below says why it matters and how far apart vendors are on it in the research.
How to use it
Start with the sections, not the requirements. Decide which sections carry the most weight for your operation, then go through the requirements in each one and drop what does not apply. A brand reusing screens it already owns will weigh hardware compatibility heavily; a group changing prices often will care most about the CMS and the POS link.
Put the same list to every vendor, in the same words, and ask for a score and evidence on each line. A requirement list only compares vendors fairly when every vendor answers the same questions.
Menu content and display
These four sections cover the menu and the screens: the content management system, ease of use, hardware compatibility and integrations. They are what guests see and staff touch every day, and in Olive's digital menu board research every vendor scores higher on them than on running the network at scale.
Content Management System (CMS)
10 requirementsThe CMS is where menus, prices and promotions are built, scheduled and pushed to screens. Dayparting, templates and central control with local overrides decide how much work every menu change takes.
In the research, the 9 vendors score from 58 to 83 out of 100 on this section, one of the three closest in the report.
- Content SchedulingAbility to schedule content updates and promotions in advance.
- Remote ManagementRemote management capabilities for updating content from any location.
- User PermissionsUser permission settings to control access and editing rights.
- Template LibraryAccess to a library of pre-designed templates for quick setup.
- Drag-and-Drop EditorA drag-and-drop editor for easy content creation and customization.

User Interface and Experience
10 requirementsMenu updates are often made by managers and marketers, not IT. An editor that is quick to learn keeps menus accurate and stops every change from becoming a ticket.
In the research, the 9 vendors score from 56 to 83 out of 100 on this section, one of the three closest in the report.
- Intuitive User InterfaceThe solution should offer an intuitive and user-friendly interface that requires minimal training for staff.

Hardware Compatibility
10 requirementsScreens and players are a large share of the cost. Knowing which displays, players and mounts the software supports decides whether existing hardware can be reused and how easily it can be replaced.
In the research, the 9 vendors score from 31 to 82 out of 100 on this section, one of the three widest gaps in the report.

Integration Capabilities
10 requirementsMenu boards should reflect what the POS and inventory say: prices, availability and sold-out items. Integrations with the POS and other systems remove the double entry that lets screens and registers disagree.
In the research, the 9 vendors score from 39 to 77 out of 100 on this section.
- POS System IntegrationSeamless integration with existing POS systems to streamline operations.
- Inventory Management SyncAbility to sync with inventory management systems for real-time stock updates.

These four sections cover what it takes to run screens across many locations: reliability, scalability, security, and analytics and reporting. They matter more with every location added, and for most vendors in the research they are the lowest-scoring group.
Performance and Reliability
10 requirementsA blank or frozen menu board costs sales in the middle of service. Uptime commitments, offline playback and remote monitoring keep screens running when the network does not.
In the research, the 9 vendors score from 23 to 71 out of 100 on this section.
- High Uptime GuaranteeGuarantee of high uptime to ensure the system is always available.
- Fast Content UpdatesQuick content updates to ensure menus are always current.

Vendor and pricing
These two sections cover the company and the commercial terms: support and training, and the cost and pricing model. Pricing is where the vendors in the research differ most, so it is worth comparing in detail before shortlisting.
